PDF or Word CV? Which File Format Works Best for ATS in 2026
You have finished your CV and you are about to hit "submit". PDF or Word? The short answer: send a text-based PDF unless the employer asks for Word. Here is why, which situations are the exception, and how to make sure your file is actually readable.
Quick Decision Guide
- โ Online application / ATS portal: text-based PDF
- โ Emailing a hiring manager directly: PDF
- ๐ Recruitment agency asks for your CV: Word (.docx)
- ๐ Job ad says "Word format only": Word (.docx)
- โ Never: scanned PDF, image file, .pages, or old .doc
"PDF Breaks ATS" Is Mostly Outdated Advice
Ten to fifteen years ago, many applicant tracking systems struggled with PDFs, and "always send Word" became standard advice. It stuck around long after the technology moved on. Today, the major platforms โ Workday, Greenhouse, Lever, iCIMS, SmartRecruiters, SAP SuccessFactors and current versions of Oracle Taleo โ all parse text-based PDFs reliably.
What does break ATS parsing is not the PDF format itself, but what is inside it:
- Image-based PDFs: scanned documents, or CVs exported from some design tools as flattened images. There is no text for the parser to read.
- Text inside images or graphics: skill bars, icons with labels, infographic timelines.
- Complex multi-column layouts: some parsers read across columns, mixing your job titles with your skills sidebar.
- Content in headers and footers: often skipped entirely โ never put your name or contact details only there.
Those same problems break Word files too. Format is rarely the issue; layout is. See what recruiters actually see after parsing.
PDF vs Word: Side by Side
| PDF (text-based) | Word (.docx) | |
|---|---|---|
| Layout preserved | Yes โ identical on every device | Can shift with fonts and Word versions |
| Modern ATS parsing | Reliable | Reliable |
| Editable by recruiter | No | Yes |
| Looks professional | Yes | Yes, if fonts are standard |
| Best for | Direct applications, ATS portals, email | Agencies, explicit requests |
When a Recruiter Actually Wants .docx
Recruitment agencies are the main exception. They often:
- Move your CV onto their own branded template before sending it to a client
- Remove your contact details so the client cannot bypass the agency
- Add a short recruiter summary at the top
All of that is easier in Word. If an agency asks for .docx, send it โ and keep the layout simple so their edits don't break it. Some public sector and government portals also specify Word; always follow the instructions in the job ad over any general rule.
How to Check Your PDF Is ATS-Readable (30 Seconds)
- Open your PDF and try to highlight a sentence. If you can't select text, it is an image.
- Select all (Ctrl/Cmd + A), copy, and paste into a plain text editor (Notepad, TextEdit in plain text mode).
- Check that your name, contact details, job titles, dates and skills all appear โ in a sensible order.
If anything is missing or scrambled, the ATS will see the same thing. Our free CV checker runs this test automatically, and our CV checker guide explains the results.
CV File Naming Conventions
Your filename is the first thing a recruiter sees in their inbox or ATS. Make it identify you instantly:
Good
Sarah-Ahmed-CV.pdf
Sarah-Ahmed-CV-Data-Analyst.pdf
Sarah-Ahmed-Cover-Letter.pdf
Avoid
CV.pdf
Resume_FINAL_v3 (2).pdf
sarah cv new!!.docx
- Use hyphens or underscores instead of spaces.
- Match the employer's terminology: "CV" in the UK, Europe and the Gulf; "Resume" in the US and Canada.
- Keep the file under 2MB โ some portals reject larger uploads.
- Send the CV and cover letter as separate files unless asked to combine them.
FAQ: PDF vs Word CV
Is PDF or Word better for ATS?
For modern ATS platforms, a text-based PDF and a .docx file parse equally well. PDF is the better default because it preserves your layout exactly. Send .docx only when the employer or recruiter asks for it.
Can ATS read PDF resumes?
Yes. Workday, Greenhouse, Lever, iCIMS, SmartRecruiters, SuccessFactors and current versions of Taleo all parse text-based PDFs. The problem is image-based PDFs (scans, or files exported as images from design tools), which contain no machine-readable text.
How do I know if my PDF is ATS-readable?
Open it and try to select the text. Then copy everything and paste it into a plain text editor. If all your content appears in a sensible order, an ATS can read it. If you cannot select the text or it pastes as gibberish, the PDF is image-based.
Why do recruiters ask for Word CVs?
Agency recruiters often reformat CVs onto their own branded template, remove your contact details before sending you to a client, or add notes. That is much easier in Word. It is a workflow preference, not an ATS requirement.
What should I name my CV file?
Use your full name, the document type and optionally the role: "Firstname-Lastname-CV.pdf" or "Firstname-Lastname-CV-Product-Manager.pdf". Avoid "CV.pdf", "Resume_final_v3.pdf" and spaces or special characters.
